Introduction to Multi-Factor Authentication

Multi-Factor Authentication (MFA) or two-step verification is a technology that requires both a password (something you know) and an additional second-step of authentication (using something you have).

The second-step of authentication can be:
  • An App on your mobile device

  • A phone call

  • A text message

This means if your password is stolen or guessed the malicious person will not be able to access your account without access to your secondary device.

You may have already used MFA on services such as online banking.

A general rule of thumb is if you see a password box with the Brunel logo above it you are using an application that supports multi-factor authentication.



Setting Up Multi-Factor Authentication

When multi-factor authentication (MFA) is enabled on your account you will be prompted to set it up by following these steps:

  1. Click Next

        


  2. Select one of the following methods:

  3. Mobile app (recommended)

  4. Office phone

  5. Authentication phone

  6. Follow the relevant steps below


Download the Microsoft Authenticator app

The Microsoft Authenticator app can be downloaded and installed from the Apple iOS App Store or Google Play Store


Adding an account to the Microsoft Authenticator app

Apple iOS

  • Click the +
  • Specify you want to add a Work or School account
  • Scan the QR code on screen

Google Android or Windows Phone

  • Click the ...
  • Click Add account
  • Specify you want to add a Work or School account
  • Scan the QR code on screen

Setting Up Multi-Factor Authentication - Call Me

  1. Select either Office Phone or Authentication Phone

  2. Select Call Me and enter the phone number (remembering to select +44 and drop the first 0)

  3. Answer the phone call then press the # key


Setting Up Multi-Factor Authentication - Text Me

  1. Select Authentication Phone

  2. Select Send me a code by text message

  3. Enter the code you have been text


Multi-Factor Authentication - App Passwords

Microsoft has now phased out App Passwords and these can no longer be used.

We recommend moving to the Outlook App on mobile devices or Outlook 2016 / 2019 / 365 on desktop devices.
